Terms and Conditions

General

1.1 These Terms and Conditions govern the purchase of tickets and attendance at the Newnham College MCR Garden Party 2026 (“Event”).

​

1.2 By purchasing or using a ticket, the ticket holder agrees to be bound by these Terms and Conditions.

​

1.3 The Event is organised by the MCR Garden Party Committee (“Organisers”).

​

1.4 The Organisers reserve the right to amend these Terms where reasonably necessary for the safe and orderly operation of the Event.

​

1.5 These Terms and Conditions may be subject to change. Any updates or amendments will be announced through the official ticketing website. Continued use of a ticket after such announcement constitutes acceptance of the updated Terms and Conditions.

Eligibility and Tickets

2.1 Tickets are issued for entry to the Event on the date and at the location specified on the ticket.

​

2.2 Each ticket permits entry for one named ticket holder unless otherwise specified.

​

2.3 Tickets must be presented upon entry (digital or printed format as specified by the Organisers).

​

2.4 The Organisers reserve the right to refuse entry or remove individuals from the Event where necessary for safety, compliance with college policies, or where these Terms are breached.

Guest Policy

3.1 Ticket holders may invite up to two additional guests after booking, subject to capacity limits.

​

3.2 Guests may include individuals who are not members of the University of Cambridge.

​

3.3 The primary ticket holder is responsible for the conduct of their guests and must ensure that their guests comply with these Terms and Conditions and any instructions issued by the Organisers or venue staff.

 Refund Policy

5.1 Tickets are strictly non-refundable.

​

5.2 Refunds cannot be issued under any circumstances, including but not limited to:

  • change of personal circumstances

  • inability to attend the Event

  • travel disruptions

  • examination schedules or academic commitments.

​

5.3 Ticket holders unable to attend may request a name change in accordance with Clause 4, subject to the applicable deadlines.

Behaviour and Conduct

6.1 All attendees must comply with:

  • applicable college regulations

  • University of Cambridge policies

  • instructions from event staff and security.
     

6.2 The Organisers reserve the right to remove any individual whose behaviour:

  • endangers the safety of others

  • damages property

  • disrupts the event

  • violates college or university policies.
     

6.3 In such cases, the attendee will not be entitled to any refund.

Alcohol

7.1 Alcohol will only be served to attendees aged 18 or over.

​

7.2 Valid photographic identification may be requested at any time.

​

7.3 The Organisers reserve the right to refuse alcohol service where appropriate.

Liability

8.1 Attendance at the Event is at the attendee’s own risk.

​

8.2 To the fullest extent permitted by law, the Organisers shall not be liable for:

  • loss, theft, or damage to personal property

  • personal injury arising from circumstances outside the Organisers’ reasonable control.
     

8.3 Nothing in these Terms excludes or limits liability for:

  • death or personal injury caused by negligence

  • fraud or fraudulent misrepresentation

  • any liability which cannot lawfully be excluded under English law.

Photography and Media

9.1 Photography and video recording may occur during the Event.

​

9.2 By attending, guests consent to the possible use of such images for MCR publicity and promotional purposes, unless they notify the Organisers otherwise.

Force Majeure

10.1 The Organisers shall not be liable for cancellation, delay, or modification of the Event due to circumstances beyond their reasonable control, including but not limited to severe weather, public safety concerns, or regulatory restrictions.

Security and Searches

11.1 The Organisers and security personnel reserve the right to conduct reasonable searches of attendees and their belongings upon entry to the Event.

11.2 Any prohibited items may be confiscated. Prohibited items may include (but are not limited to):

  • illegal substances

  • outside alcohol

  • weapons or items that could be used to cause harm

  • glass containers

  • fireworks or flares.
     

11.3 Refusal to comply with a search request may result in refusal of entry or removal from the Event.

Re-Entry Policy

12.1 The Organisers reserve the right to determine whether re-entry to the Event is permitted.

​

12.2 If re-entry is allowed, attendees must comply with the designated wristband or pass system.

​

12.3 The Organisers may refuse re-entry where capacity or safety considerations require.

​

Health and Safety

13.1 Attendees must take reasonable care for their own health and safety and that of others.

​

13.2 Any accidents, injuries, or hazards must be reported immediately to Event staff.

​

13.3 Attendees must comply with all safety instructions, signage, and emergency procedures.

Food and Allergies

14.1 Food and drink provided at the Event may contain allergens.

​

14.2 While vendors will endeavour to provide accurate allergen information, the Organisers cannot guarantee that food is completely free from allergen cross-contamination.

​

14.3 Attendees with allergies or dietary requirements are responsible for checking allergen information with vendors before consumption.

Event Programme

15.1 The Organisers reserve the right to modify the Event schedule, entertainment lineup, vendors, or programme without prior notice.

​

15.2 Such changes shall not constitute grounds for a refund.

16

Admission Cut-Off

16.1 The Organisers reserve the right to set a final admission time.

​

16.2 Attendees arriving after this time may be refused entry without refund.

Lost Property

17.1 The Organisers accept no responsibility for lost or stolen items.

​

17.2 Lost property may be reported to the Porter's Lodge during the Event or afterwards via the Organisers.

 Governing Law

18.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

​

18.2 Any disputes arising in connection with the Event shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Prohibited Substances

19.1 The possession, use, or distribution of illegal substances is strictly prohibited.

​

19.2 Any attendee found in possession of illegal substances may be removed from the Event and reported to relevant authorities and/or University authorities where appropriate.

​

19.3 No refund will be issued in such circumstances.

20

Smoking and Vaping

20.1 Smoking and vaping are only permitted in designated areas, if provided.

​

20.2 Attendees must comply with all signage and instructions regarding smoking areas.

21

Damage to Property

21.1 Attendees may be held financially responsible for any damage they cause to college property, equipment, decorations, or vendor facilities.

​

21.2 The Organisers and College reserve the right to pursue reimbursement where appropriate.

Medical Assistance

22.1 First aid services may be available during the Event.

​

22.2 By attending the Event, attendees consent to receiving first aid or medical assistance if required.

​

22.3 Where necessary, the Organisers may contact emergency services on behalf of attendees.

23

Accessibility

23.1 The Organisers will make reasonable efforts to accommodate accessibility requirements.

​

23.2 Attendees requiring specific accommodations are encouraged to notify the Organisers in advance.

24

Ticket Fraud

24.1 Tickets purchased from unauthorised third parties may be invalid.

​

24.2 The Organisers are not responsible for tickets that are lost, stolen, duplicated, or purchased through unofficial channels.

25

Data Protection

25.1 Personal data collected during ticket purchase will be processed in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR).

​

25.2 Personal data will only be used for purposes relating to the administration and operation of the Event.

26

College Authority

26.1 The Event takes place on property owned or operated by Newnham College.

​

26.2 Attendees must comply with any instructions issued by College staff, Porters, or security personnel.

27

Right to Cancel Tickets

27.1 The Organisers reserve the right to cancel a ticket where:

​

  • the ticket was obtained fraudulently

  • the attendee has previously breached event policies

  • cancellation is necessary for safety or operational reasons.
